Apply & track with Apply EdgeRole OverviewWe are looking for an experienced and proactive Office & Administration Manager to oversee the daily operations of our Taiwan office and ensure a professional, efficient, safe, and employee-friendly workplace.This role will be responsible for office administration, workplace and facility management, procurement, vendor management, employee services, office events, and administrative projects.The successful candidate will work closely with the Taiwan management team and Hong Kong headquarters to ensure smooth office operations and consistent administrative standards across the organization.Key Responsibilities1. Office & Workplace ManagementOversee the day-to-day operation and administration of the Taiwan office.Ensure the office is well-maintained, safe, clean, professional, and fully functional.Manage office space, seating arrangements, meeting rooms, office equipment, supplies, and facilities.Coordinate office access, security, building management, maintenance, cleaning, and other workplace services.Monitor workplace needs and proactively identify opportunities to improve office efficiency and employee experience.2. Facility & Vendor ManagementManage relationships with landlords, building management, property management, contractors, and service providers.Source, evaluate, and manage office-related vendors and service providers.Negotiate quotations, contracts, service agreements, and renewal terms.Monitor vendor performance and ensure service quality and cost effectiveness.Coordinate office maintenance, repairs, renovations, and other facility-related projects.3. Procurement & Budget ManagementManage office-related procurement, including office supplies, furniture, equipment, pantry supplies, and services.Develop and manage the annual office administration and workplace budget.Monitor expenses and ensure spending is within approved budgets.Establish appropriate procurement and approval procedures.Maintain accurate records of assets, purchases, contracts, and vendor information.4. Office Relocation & ProjectsLead or coordinate office relocation, renovation, expansion, and workplace improvement projects.Manage project timelines, vendors, budgets, logistics, and internal communications.Coordinate with landlords, contractors, designers, IT, HR, Finance, and other stakeholders.Ensure smooth business continuity during office relocation or major workplace projects.5. Employee Services & Workplace ExperienceProvide high-quality administrative support and services to employees.Coordinate employee onboarding and offboarding from an office administration perspective.Manage employee facilities, office access, equipment, stationery, pantry, and other workplace needs.Organize employee engagement activities, company events, celebrations, and team activities.Continuously improve the employee workplace experience.6. Administrative Operations & ComplianceMaintain and manage office-related documents, contracts, licenses, insurance, records, and administrative files.Ensure office operations comply with applicable company policies and local requirements.Coordinate with external service providers and professional advisors when required.Support administrative audits, inspections, and other compliance-related activities.7. Cross-functional & Regional SupportWork closely with HR, Finance, IT, Legal, and business teams to support Taiwan office operations.Coordinate with Hong Kong headquarters on regional administrative policies, processes, and initiatives.Implement and continuously improve Taiwan office administrative procedures and standards.Provide regular updates on office operations, expenses, risks, and key projects to management.RequirementsBachelor's degree or above in Business Administration, Management, Hospitality, Facility Management, or a related discipline.5+ years of experience in office administration, workplace management, facility management, corporate administration, or a related field.Previous experience managing office operations for a technology, SaaS, internet, or multinational company is preferred.Proven experience in vendor management, procurement, budgeting, and office operations.Strong project management skills, with experience in office relocation, renovation, or expansion projects preferred.Strong communication, negotiation, and stakeholder management skills.Highly organized, detail-oriented, proactive, and service-minded.Strong problem-solving and multitasking abilities.Good command of written and spoken Chinese and English.Proficiency in Microsoft Office / Google Workspace and other workplace management tools.Preferred QualificationsExperience working in a multinational or regional organization.Experience managing office relocation, renovation, or expansion projects.Experience managing external vendors, contractors, and building management.Experience managing administrative staff or office support teams.Familiarity with Taiwan employment and workplace-related administrative requirements.Strong understanding of workplace safety, facility management, and office operations.We offer attractive compensation packages to suitable candidates.
