We advise SET-listed companies, financial institutions and international organisations on greenhouse gas accounting and carbon footprinting, climate and sustainability disclosure (IFRS S1/S2, GRI, FTSE Russell), assurance readiness, and ISO 17100-certified technical translation and interpretation.The roleWe are seeking a Senior Office & Operations Manager with at least four years' hands-on experience to run the organisation of the firm. Reporting directly to the Chief Executive Officer, you will own the company's filing and records system, the firm-wide calendar, internal and client communication, meeting and training logistics, consultant travel and the day-to-day running of the office, together with light billing and expense administration in FlowAccount. You will be the person who keeps clients, consultants and management organised and informed.This is a senior, hands-on position for a professional who has run the operations of a small professional-services firm independently. Applicants with fewer than four years' relevant experience will not be considered.Key responsibilitiesCompany organisation and records
- Own the firm's filing system — client files, engagement folders, contracts, proposals, deliverables and corporate records — in SharePoint and in hard copy, correctly named, version-controlled and easy for anyone to find
- Maintain the company's registers and master lists: client contacts, contracts and renewal dates, subscriptions and licences, equipment, and personnel files
- Set and enforce simple, consistent procedures for how documents are created, named, stored and archivedScheduling and communication
- Manage the firm-wide calendar: client meetings, deadlines, deliverable dates, training classes, consultant site visits and the CEO's schedule
- Be the central point of communication between clients, consultants and management — confirming appointments, circulating agendas and minutes, tracking follow-up actions and chasing responses
- Draft, format and proofread professional correspondence, letters and documents in Thai and English
- Keep the team informed: weekly schedule, who is where, what is due, and what needs a decisionMeetings, training programmes and consultant support
- Prepare and coordinate client and internal meetings, both on-site and off-site — scheduling, venues and meeting rooms, agendas, materials, equipment, catering and follow-up actions
- Organise the firm's consultant-led training classes and workshops from start to finish — venue and room set-up, participant registration and communications, training materials, refreshments, attendance records and certificates
- Provide day-to-day administrative support to the consulting team so that engagements run smoothly and on scheduleTravel and consultant logistics
- Plan and book travel and local transport for consultants attending client sites, site visits, audits and training sessions — flights, hotels, vehicles, drivers and itineraries
- Maintain a shared schedule of consultant movements and ensure each consultant arrives prepared, on time and with the correct documents and equipment
- Reconcile travel advances and expenses after each tripOffice operations
- Run the office: suppliers, equipment, IT and subscriptions, courier and printing services, building management and office facilities
- Maintain personnel files, leave records, and onboarding and offboarding checklists
- Provide executive support to the CEO, including scheduling, documentation and follow-upBilling and expense administration (light)
- Issue quotations, invoices, tax invoices and receipts in FlowAccount and follow up on outstanding payments
- Record expenses and supplier bills, manage petty cash and staff expense claims
- Pass monthly documents to the firm's external accountants and coordinate on payroll, Social Security and tax filings (the external accountants handle the technical work)Qualifications
- Thai national, currently based in Bangkok (applications from outside Thailand cannot be considered)
- A minimum of four years' experience as an office manager, operations manager, senior administrator or executive assistant in a consulting, professional-services, law or accounting firm — running the office, not supporting it
- Bachelor's degree in Business Administration, Management, Arts or a related discipline
- Native-level Thai and excellent professional English, written and spoken — TOEIC 700 or above (or equivalent); proficiency will be assessed at interview
- A proven record of building and keeping an organised filing and records system for a team, and of managing a busy multi-person calendar
- Clear, professional communicator who follows up until things are done
- Working familiarity with FlowAccount, PEAK or Express for issuing invoices and recording expenses, and a basic understanding of Thai VAT and withholding tax on invoices
- Advanced command of Microsoft 365 — Outlook, Teams, SharePoint, Word, Excel and PowerPoint
- Exemplary attention to detail, discretion and integrity in handling confidential client information
- The ability to work independently, prioritise effectively and communicate with senior client stakeholders
