We have a client in the Washington, DC area are seeking an experienced Operations Manager or Senior Office Manager to oversee and support a broad range of operational, financial, and administrative functions. This role is ideal for a highly organized professional who enjoys improving processes, coordinating cross-functional initiatives, supporting senior leadership, and ensuring smooth day-to-day operations.The Operations Manager will work closely with Finance and Administration leadership, support executive and committee activities, manage office operations and resources, coordinate vendors and facilities, and contribute to organizational projects and initiatives.HighlightsThis position operates in a hybrid work environment: Tuesday and Thursday: Required in-office days and one Wednesday a monthThis is a full-time role with a salary of up to $80K-$82K with full benefitsNewly created opportunity within a growing organization, offering the flexibility to build, innovate, and implement new processes.Location is right off public transit within the square

Key Responsibilities

Facility & Resource ManagementCoordinate and resolve building maintenance, safety, access, tenant, and cleanliness issues.Manage office resources, including space, furniture, equipment, and supplies.Serve as the primary liaison with the property manager.Provide administrative and coordination support for real estate-related committees.Finance & Accounts Payable SupportProcess and deposit checks accurately and in a timely manner.Support vendor onboarding and maintenance, including verification of banking information and creation of vendor records.Respond to staff inquiries regarding vendor payments.Manage and triage the Finance shared inbox.Assist with bank reporting and ensure deadlines and accuracy requirements are met.Support budget preparation, monitoring, and reporting.Executive & Committee SupportPrepare agendas, meeting materials, presentations, and supporting documentation for Finance Committee and board meetings.Coordinate meeting logistics, distribute materials, and document minutes.Track action items and follow-ups from executive and committee meetings.Draft correspondence, reports, and presentations for senior leadership.Maintain organized documentation and filing systems.Assist with special projects and strategic initiatives.Serve as a liaison between Finance & Administration and other departments.General Administration & Office OperationsPrepare correspondence and business documents.Coordinate staff meetings and other organizational meetings.Maintain employee contact information and organizational charts.Develop and implement security, emergency preparedness, and office procedures.Promote modern, self-service, and environmentally sustainable office practices.Partner with IT to support self-service tools and portals.Continuously assess and improve operational processes, workflows, and best practices.Operational Planning & CollaborationPartner with departments to assess current and future operational needs.Collaborate on institutional projects using project management frameworks.Develop, execute, and monitor operational budgets in coordination with Finance.Participate in special projects and perform other duties as assigned.Qualifications5+ years of progressive experience in office operations, administration, or a related field.Experience supporting senior leadership and/or finance functions strongly preferred.Excellent written, verbal, and interpersonal communication skills.Strong ability to draft professional correspondence, reports, and presentations.Excellent problem-solving and decision-making skills with a customer-focused approach.Proficiency with office software and productivity tools.Experience coordinating committee or executive meetings, including agendas, logistics, and minutes.Proven ability to manage multiple projects simultaneously while maintaining strong attention to detail.Familiarity with financial concepts, accounts payable, budgeting, and financial reporting.High level of professionalism, discretion, and confidentiality when handling sensitive information.
