The role oversees office facilities, vendor management, company assets, administrative budgeting, documentation control, and support services while maintaining compliance with company policies and procedures.Role Description 1. Office AdministrationEnsure smooth day-to-day administrative operations.Manage office supplies and oversee inventory control.Coordinate maintenance of office facilities, equipment, and assets.Monitor office cleanliness, safety, and workplace standards.2. Facility & Asset ManagementMaintain records of company assets and office equipment.Coordinate repair, maintenance, and replacement of office assets.Conduct periodic asset verification and inventory audits.Liaise with external vendors, contractors, and service providers.3. Vendor & Contract ManagementSource and negotiate with suppliers for office-related services.Monitor vendor performance and service quality.Maintain contracts, service agreements, and renewal schedules.Ensure cost-effective procurement in line with company policies. 4. Budget & Cost ControlAssist in preparing and monitoring administration budgets.Review and verify administrative expenses.Identify opportunities for cost savings and process improvement.Prepare monthly expense reports and budget utilization reports.5. Documentation & ComplianceMaintain administrative records, files, and company documentation.Ensure compliance with company policies, legal requirements, and internal controls.Prepare reports, letters, announcements, and official correspondence.Support audit requirements related to administration functions.6. Employee Support ServicesManage transportation, accommodation, travel arrangements, and meeting logistics.Coordinate office events, staff activities, and company functions.Provide administrative support to departments when required.Handle employee requests related to facilities and administrative matters. 7. Team CoordinationSupervise Administrative Assistants, Drivers, Janitors, and Support Staff (if applicable).Monitor staff performance and work schedules.Provide coaching and guidance to junior administrative employees. QualificationsBachelor's Degree in Business Administration, Management, Public Administration, or related field.Minimum 3-5 years of experience in Administration, Office Management, Facilities Management, or related functions.Experience in supervising support staff is preferred.Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).Ability to work under pressure and manage multiple priorities. Can written and speaking English.Professionalism, honesty, integrity teamwork.
