Project Coordinator / Senior Project Coordinator – Systems IntegrationLocation: Greater Toronto Area / Mississauga, OntarioWork Model: Primarily On-Site / In-Office + Local & Regional TravelEmployment Type: Full-TimeAbout the OpportunityOur Client is an established provider of integrated technology and building systems solutions supporting commercial, industrial, institutional, and enterprise environments.As part of continued growth in the Greater Toronto Area, Our Client is looking to add experienced Project Coordinators and Senior Project Coordinators to its project delivery team.The role is responsible for coordinating technical and systems integration projects from award through completion, including project planning, scheduling, field coordination, installation oversight, subcontractor coordination, material requirements, cost control, commissioning/start-up support, and customer communication.Candidates with experience delivering integrated building technology, Building Automation Systems (BAS), electronic security, controls, low-voltage, or other technical systems projects are particularly relevant. BAS or Security experience is preferred but is not mandatory.Depending on experience, candidates may take responsibility for multiple projects, supervise field resources and subcontractors, and provide leadership throughout the project lifecycle.What You’ll DoSupport project administration and document control, including meeting minutes, action logs, submittal tracking, project reporting, correspondence, and project closeout records.Coordinate assigned projects from award through installation, commissioning, turnover, and completion.Support the successful delivery of multiple projects while maintaining agreed schedules, budgets, scope, and customer requirements.Coordinate project schedules, site activities, field installation resources, subcontractors, suppliers, and other project stakeholders.Review project requirements, drawings, schedules, contracts, subcontracts, change requests, and related documentation.Translate customer and project requirements into clear actions for field teams, subcontractors, suppliers, and internal departments.Communicate project requirements, priorities, schedules, risks, changes, and outstanding items to appropriate stakeholders.Identify potential project risks, delays, cost issues, or scope deviations and support corrective actions.Maintain regular communication with customers regarding schedules, project activities, changes, site requirements, and project status.Coordinate procurement and availability of installation materials, equipment, supplies, and services required for project delivery.Support installation, start-up, testing, commissioning, checkout, and turnover activities when required.Provide coordination and troubleshooting support for technical, installation, electrical, controls, networking, or field-related issues.Coordinate receiving and dispatch of project materials with suppliers, transportation providers, technicians, and project teams.Verify received materials and assist in resolving shortages, discrepancies, damaged goods, or incorrect orders.Maintain accurate records of project inventory, warehouse stock, tools, equipment, and material transfers.Support inventory counts and ensure project materials are properly received, recorded, stored, and distributed.Prepare or process purchase orders, packing slips, material documentation, and other project-related records as required.Maintain organized project documentation and provide general operational or administrative support related to project delivery.Follow company health and safety requirements as well as applicable provincial, local, site, and industry requirements.Maintain professional working relationships with customers, contractors, subcontractors, suppliers, technicians, and internal teams.For More Senior CandidatesDepending on experience and project scope, additional responsibilities may include:Providing day-to-day leadership and direction to project and field personnel.Supervising installation teams and subcontractors.Managing larger, more complex, or multiple concurrent integration projects.Monitoring project financial performance, labour productivity, material costs, and schedule performance.Mentoring and supporting Project Coordinators and other team members.Participating in workforce planning, work assignment, coaching, and team development.Working directly with customers, contractors, consultants, and internal leadership to resolve project issues and maintain progress.What We’re Looking ForCandidates should have experience working in project coordination, technical construction, systems integration, engineering, controls, field installation, or a related project delivery environment.Experience coordinating projects involving multiple technical disciplines, vendors, subcontractors, equipment, and site activities is highly preferred.Relevant industry backgrounds may include, but are not limited to:Building Automation Systems (BAS)Electronic security environments will be considered where their experience demonstrates strong project coordination and systems integration exposure.Skills & ExperienceExperience coordinating technical, construction, engineering, or systems integration projects.Strong organizational and project coordination skills.Ability to manage multiple priorities, schedules, stakeholders, and project requirements.Experience coordinating field personnel, subcontractors, suppliers, and project materials.Ability to identify project risks and support practical solutions.Strong written and verbal communication skills.Ability to work collaboratively with customers, technical teams, contractors, and internal departments.Understanding of project budgets, cost tracking, change management, and project financial controls.Strong problem-solving and analytical skills.Ability to adapt to changing site conditions, project schedules, and customer requirements.Working knowledge of Microsoft Outlook, Excel, and Word.General understanding of technical systems and the ability to work effectively with technical teams.Basic understanding of IT networking is an asset, particularly for connected building or integrated systems.Experience & EducationTechnical diploma, college education, construction-related education, engineering technology background, or equivalent relevant experience.Approximately 5+ years of relevant project, construction, technical field service, installation, systems integration, or project coordination experience is preferred.Experience in a systems integration environment is highly preferred.BAS, electronic security, controls, or integrated building systems experience is considered an asset rather than a requirement.Candidates considered for Senior Project Coordinator responsibilities should have demonstrated experience independently managing projects and coordinating field resources, subcontractors, or project teams.Previous project supervisory experience is preferred for more senior-level opportunities.Our Client is open to candidates at different levels of experience. The exact position and scope of responsibility will be aligned with the candidate’s project background, technical exposure, integration experience, and ability to independently manage projects.Additional RequirementsMust be legally eligible to work in Canada without employer sponsorship.Must be able to travel to customer sites and project locations as required.Candidates located outside the required operating area must be willing to relocate if necessary.The position is primarily office/site based when not travelling.
