Settlement Officer – Freight Forwarding (Automotive industry)

We are seeking a detail-oriented professional to oversee shipment settlements, vendor invoices, and document control within our Freight Forwarding operations. In this role, you will manage the end-to-end settlement process: collecting Delivery Orders (DOs) and carrier invoices, recording Accounts Payable and Receivable (AP/AR) transactions in our internal system, reconciling financial records, and liaising between Operations and Finance & Accounting (F&A) to ensure timely payments and accurate billing.

Document Control & Vendor ManagementCollect DOs, original shipping documents, and carrier/vendor invoices from airlines, shipping lines, and logistics partners.Maintain complete, accurate digital records for every shipment, ensuring full compliance and audit readiness.Follow up regularly with vendors to secure pending invoices, bills, and clearance documents.2. Financial Settlement, AP/AR & Systems EntryAccurately record and process AP and AR invoices in our internal logistics system.Calculate cost, revenue, and gross profit margin for each shipment before submitting for financial processing.Submit settlement documentation through the internal system to F&A for review and formal approval.Reconcile vendor statements, resolve cost discrepancies, and work with F&A to ensure timely vendor payments and customer billing.3. Cross-Functional CoordinationServe as the primary liaison between Operations and F&A, resolving open settlement disputes and missing-document cases.Follow up with customers on outstanding invoices and payment status as needed.Requirements & QualificationsEducation: Bachelor's degree or diploma in Supply Chain, Logistics, Business Administration, or Finance.Experience: 2–4 years of hands-on experience in freight forwarding carrier charge settlements.Industry Knowledge: Solid understanding of Air Waybills (AWB), Bills of Lading (BL), Incoterms, and general freight forwarding workflows (Air & Sea).

Technical Skills

Proficiency in ERP/logistics software and Microsoft Excel for financial tracking and reconciliation.Competencies: Strong attention to detail, numerical accuracy, effective cross-departmental communication, and time management.
