We are looking for a detail-oriented logistics professional who can coordinate shipping activities while maintaining accurate documentation and timely communication.The RoleWe are seeking an experienced Shipping Assistant / Freight Assistant / Shipping Coordinator to support shipment planning, freight coordination, shipping documentation, carrier communication, tracking, and logistics administration.The ideal candidate is organized, proactive, detail-oriented, and comfortable managing multiple shipments, deadlines, suppliers, carriers, documents, and customer requests.Key ResponsibilitiesCoordinate daily shipping and freight activities with approved suppliers, carriers, freight forwarders, warehouses, and customers.Receive and process authorized shipping requests, delivery instructions, purchase orders, and transportation requirements.Prepare and verify shipping documents including commercial invoices, packing lists, bills of lading, airway bills, delivery orders, and shipping instructions.Accurately enter shipment details, consignee information, quantities, weights, dimensions, destinations, and reference numbers into approved systems.Coordinate pickup, loading, dispatch, transportation, delivery, and proof-of-delivery activities.Obtain and compare approved freight quotations, schedules, transit times, and service options.Coordinate with freight forwarders, shipping lines, airlines, trucking companies, courier providers, and logistics partners.Track shipments from origin through final delivery and provide timely status updates.Monitor shipment milestones, estimated arrival dates, delays, exceptions, and delivery confirmations.Follow up on delayed, damaged, missing, or incomplete shipments and escalate issues to the appropriate team.Communicate shipment updates and documentation requirements to customers, suppliers, and internal stakeholders.Assist with import and export documentation according to established procedures.Coordinate with customs brokers and authorized representatives regarding routine documentation and clearance requirements.Ensure shipping documents are complete, consistent, properly filed, and available before dispatch.Assist with customs declarations, permits, certificates of origin, inspection documents, and other supporting records where applicable.Maintain accurate shipment files, freight records, delivery confirmations, correspondence, and transaction documentation.Monitor shipping deadlines, carrier cut-off times, booking deadlines, and required documentation.Assist with booking cargo space and confirming transportation arrangements with approved carriers.Support warehouse teams with dispatch schedules, packing information, shipment labels, and loading instructions.Verify freight invoices, carrier charges, accessorial fees, and supporting documentation against approved shipments.Coordinate with finance teams regarding freight invoices, payment documentation, credits, and billing discrepancies.Maintain shipment trackers, freight reports, delivery schedules, and outstanding-action lists.Prepare routine logistics reports covering shipment status, delivery performance, freight costs, delays, and exceptions.Assist with inventory movement documentation and coordination between warehouses, suppliers, and customers.Support returns, reverse logistics, replacement shipments, and delivery adjustments where required.Respond professionally to routine shipping and delivery inquiries.Escalate urgent transportation disruptions, customs issues, major delays, damaged cargo, or security concerns promptly.Protect confidential customer, commercial, shipment, pricing, and supplier information.Follow company policies, shipping procedures, customs requirements, data-protection standards, safety procedures, and applicable UAE regulations.Identify opportunities to improve shipment visibility, documentation accuracy, freight coordination, delivery performance, and logistics efficiency.RequirementsBachelor’s degree or equivalent qualification in Logistics, Supply Chain Management, Transportation, Business Administration, International Trade, or a related field is preferred.3+ years of professional experience in shipping, freight forwarding, logistics, transportation, import/export, or supply-chain operations is preferred.Experience coordinating domestic or international shipments is advantageous.Strong understanding of shipping documentation, freight coordination, transportation processes, and delivery administration.Familiarity with import/export procedures, customs documentation, and freight terminology.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Strong organizational, multitasking, follow-up, and time-management skills.Exceptional attention to detail when handling shipment information, documentation, quantities, weights, dates, and reference numbers.Ability to manage multiple shipments and deadlines simultaneously.Strong communication and problem-solving skills when coordinating with carriers, suppliers, customers, and logistics partners.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, ERP, WMS, TMS, and logistics-management systems.Experience with SAP, Oracle, Microsoft Dynamics, CargoWise, or comparable logistics platforms is advantageous.UAE or GCC experience in logistics, freight forwarding, shipping, trading, manufacturing, retail, or distribution is advantageous.Experience with air freight, sea freight, road transport, courier operations, or multimodal logistics is advantageous.CILT, FIATA, logistics, supply-chain, customs, or related
