🚢 Shipping Operations Assistant / Specialist — Role DescriptionWe are looking for a highly organized, detail-oriented, and proactive Shipping Operations Assistant / Specialist to support efficient shipping and logistics operations. 📦🌍 The role focuses on coordinating shipments, preparing documentation, communicating with carriers and partners, tracking cargo movements, and ensuring smooth and timely shipping processes.🎯 Role Description🚢 Coordinate daily shipping activities, including booking, shipment scheduling, cargo dispatch, and delivery arrangements.📑 Prepare, verify, and maintain shipping documents such as commercial invoices, packing lists, bills of lading, and shipping instructions.📦 Monitor shipment status and coordinate the movement of goods from origin to destination.🤝 Communicate with shipping lines, freight forwarders, carriers, customs agents, suppliers, customers, and internal teams.🔍 Track shipments and proactively follow up on delays, discrepancies, damages, documentation issues, or delivery changes.🌐 Support import and export operations while ensuring shipping activities follow applicable procedures and requirements.📊 Maintain accurate shipment records, databases, tracking information, and operational reports.💰 Assist with freight quotations, shipping costs, invoices, and related commercial documentation.📅 Coordinate shipping schedules, deadlines, container bookings, pickups, and delivery arrangements.🧾 Review shipping documentation for accuracy, completeness, and consistency before submission or dispatch.⚙️ Support the resolution of operational issues and contribute to improving shipping workflows and processes.📈 Prepare regular shipment and logistics reports and provide timely operational updates.🚀 Help ensure shipping operations are efficient, cost-effective, compliant, and customer-focused.🎓 Qualifications🎯 Bachelor’s degree or equivalent qualification in Logistics, Supply Chain Management, International Business, Transportation, or a related field.🧠 Good understanding of shipping operations, freight forwarding, transportation, and supply chain processes.🚢 Familiarity with import/export procedures, shipping documentation, customs processes, and international trade is an advantage.📊 Strong organizational, analytical, and problem-solving skills with excellent attention to detail.📝 Ability to accurately prepare, review, and maintain shipping and logistics documentation.💻 Good knowledge of Microsoft Office, particularly Excel, Word, and related business tools.🤝 Strong communication and coordination skills when working with carriers, suppliers, customers, and logistics partners.⏱️ Ability to manage multiple shipments, priorities, schedules, and deadlines effectively.🔍 Proactive approach to identifying, tracking, and resolving shipping-related issues.🌟 Ability to work independently while contributing effectively within a collaborative and fast-paced environment.🔐 Professional approach to handling confidential commercial, customer, and shipment information.💡 Strong willingness to learn and adapt to changing shipping requirements, processes, and business needs.
