Position OverviewThe Studio Manager is responsible for the day-to-day operation, presentation and readiness of a private studio and offices. The role oversees all activity taking place within the space, from internal meetings and talent led shoots to third-party productions and commercial studio rentals, ensuring the space runs smoothly, safely and to the standard expected of a highly private, high-profile environment.This person will act as the central point of contact for studio operations, working closely with the Chief of Staff, talent, production teams, security, housekeeping, property management and external vendors. The role requires someone who is highly organized, practical and proactive, with the ability to manage multiple moving parts whilst maintaining discretion, excellent communication and strong attention to detail.Key ResponsibilitiesManage all studio rental enquiries from initial contact through to completion, including availability, scheduling, studio information, measurements, requirements, permitting, insurance and overall space readiness.Oversee the commercial studio rental process and ensure all external bookings comply with the building’s operational, security and insurance requirements.Act as the primary on-site contact for third-party photoshoots, productions and events, ensuring visiting teams are appropriately checked in, required documentation and NDAs are completed, and agreed headcounts and building protocols are followed.Be present for significant productions from set-up through wrap as required, ensuring crews are supported whilst protecting the building, the principal’s privacy and the integrity of the space.Oversee the studio and building master calendar, coordinating productions, meetings, fittings, vendors, maintenance and other activity to avoid scheduling conflicts.Work closely with housekeeping and other support teams to ensure studios, meeting rooms and shared spaces are correctly prepared ahead of shoots, meetings and events and returned to standard afterwards.Coordinate personal and professional shoots for the principal as required, including catering, photographer agreements, equipment preparation, call sheets and other production logistics.Support and coordinate third-party or external-location productions involving the principal, working with relevant production teams to ensure her requirements, preferences and logistical needs are properly communicated and executed.Maintain a strong working knowledge of the studio’s facilities, equipment and building systems, ensuring operational issues are identified quickly and directed to the appropriate vendor or engineer.Work closely with Security to coordinate appropriate coverage for productions, evening fittings, weekend activity, events and other occasions requiring additional support.Prepare and distribute clear internal communications regarding building closures, maintenance, holidays, access changes and other operational matters.Support the onboarding and offboarding of employees working within the offices and studio and assist with administrative responsibilities.Review studio and facilities-related invoices and costs as required, flagging discrepancies and notable expenditure to the appropriate person for approval.Maintain clear operational systems and processes across the studio and continually identify opportunities to improve efficiency, organization and the experience of both internal and external teams.Key Strengths & AttributesExceptionally organized with strong attention to detail and the ability to manage a comfortable working with production crews, vendors, contractors, executives and high-profile individuals.Strong judgement and an understanding of when matters should be resolved independently and when they should be escalated.Meticulous about presentation, organisation and maintaining the Principal’s standards throughout the building.Absolute discretion and an understanding of the privacy and confidentiality required when working for an extremely high-profile Principal.Flexible and willing to adapt working hours around productions, events, fittings and other studio requirements.Required Skills & ExperiencePrevious experience in studio management, production operations, facilities management or a similar operational role.Experience coordinating photoshoots, productions, events or commercial studio rentals strongly preferred.Demonstrated experience working with vendors, contractors, property management and building engineers.Strong scheduling and project management skills, with the ability to coordinate multiple teams and priorities simultaneously.Comfortable reviewing contracts, permits, certificates of insurance, invoices and other operational documentation.Strong written and verbal communication skills.Confident using digital calendars, Google Workspace and other administrative and project management systems.Experience within a private office, high-profile production environment, luxury business or similarly confidential setting is advantageous.Flexibility to work outside standard office hours, including early starts, late finishes and weekends, when productions
