We are currently seeking an experienced Administrator to oversee studio operations and support our continued growth. In this pivotal role, the Studio Operations Administrator will oversee daily operations of the studio and serve as the principal contact for staff, clients, vendors, and visitors, while working in close alignment with our management team. This in-person role, at our stunning Brown Deer studio, is an exceptional opportunity for a motivated self-starter to take the position to the next level and enhance organizational efficiency across our multi-office studio. Core responsibilities include but are not limited to:· Coordinate leadership calendars, travel logistics, and shifting priorities for management team· Track business development efforts, manage prospective client data, and coordinate timely follow-up· Maintain firm business licenses and individual professional license renewals for firm president· Assist management team in drafting proposals and creating AIA contract documents· Support external IT consultants; coordinate technology updates and manage IT inventory; onboard new employees with IT equipment and software programs · Assist Controller with monthly accounting reconciliations and billing support· Manage multi-office supply inventory, shipping logistics, utilities, and vendor relations· Oversee service contracts, procurement, and maintenance for firm equipment · Function as first point-of-contact for all office inquiries, both internally and externally · Provide administrative and operational support for all staff to keep the studio running smoothly
Preferred Qualifications
· Bachelor’s degree and 10+ years’ business office management experience; some basic accounting knowledge· Self-starter with a proactive work style and desire to grow and evolve this role; interest working in the design sector preferred· Ability to work in person in a client-focused environment providing premium, concierge-level service to an exclusive clientele · General knowledge of office management systems and procedures· Excellent time management skills and ability to multi-task and prioritize work· Attention to detail and problem-solving skills· Excellent written and verbal communication skills tailored to different audiences· Track record of maintaining strict confidentiality regarding firm and client information· Proficiency with Microsoft Office (Word, Excel) and adaptability to new software systems· Ability to keep a consistent schedule (daily until 5:30 pm) and manage minor physical requirements (walking, bending, lifting up to 30 lbs) This opportunity includes competitive compensation and a comprehensive benefit package, along with a beautiful work environment!
