PRIMARY PURPOSE: Maintains the day-to-day processes of the NCPK (North Carolina Pre- Kindergarten) and Scholarship programs providing eligible parents with assistance paying for child care. Coordinates referrals to DEPC (Down East Partnership for Children) programs, community resources, and provides family coordination of care. ABILITIES NEEDED:  Exceptional process management, problem solving, multitasking and collaboration skills  Excellent verbal and written communication skills  Ability to present a professional positive attitude and composure in day-to-day stress and in high-pressure situations  Accuracy and efficiency with data entry  Excellent listening skills  Excellent computer skills with database, spreadsheets, and word processing software  Meticulous attention to detail  Ability to work independently, organize and manage multiple tasks and processes, and to function as part of a team  Strong understanding of child development and child care licensing and early childhood education system  Valid Driver’s License WORK EXPERIENCE REQUIREMENTS:  Knowledge of Division of Child Development early childhood care programs or other subsidized child care program services for at-risk families  Experience in complex data entry and database management  Experience providing customer service  3-5 years qualifying experience, preferably with a focus on program operating processes  Strong experience in complex data entry ESSENTIAL RESPONSIBILITIES: Provides Services to Families  Responsible for the distribution of written information on program requirements for the DEPC Scholarship program, NC Pre-K, and other child care programs  Knowledgeable about subsidized care options and community resources related to child care in Nash and Edgecombe Counties. Collaborates with agencies such as Head Start, Public Pre-K Classrooms, NC Pre-K and private child care and engages diverse families in a non-judgmental and unbiased manner.  Coordinates with the Family Services team to provide the most current resources for child care alternatives in Nash and Edgecombe Counties and community resources to seeking families.  Ensures family confidentiality and takes actions to protect client privacy.  Coordinates individual parent meetings for child care resources and referral.  Responsible for accurately reporting and entering family contacts and correspondence in the Work Life System database NC Pre-K Program  Completes complex child care application process determines financial eligibility according to state regulations, reviews documentation for completion and errors, sends appropriate correspondence to families and providers, enrolls and waitlist children as required  Inputs and maintains NC Pre-K data into multiple databases and children’s records on site.  Provides logistical support for NC Pre-K provider orientation, NC Pre-K Advisory Committee meetings, state and site monitoring training, site visits and inventory, Challenging Behavior meetings, etc.  Assists with the biennial provider bid and renewal process, parent contacts, and community resources.  Prepares formal meeting minutes that are clear, concise, and accurately describe records of what occurred during the meeting and what decisions were made. Scholarship Program  Enters scholarship family contacts and correspondence into the Work Life System database  Provides logistical support for Scholarship provider orientation workshops and parent orientations  Distributes and maintains developmental assessments tools to scholarship families Team Responsibilities  Represents DEPC, NCPK, and Scholarship accurately and professionally in the community at community outreach events  Travels as needed to attend training, presentations, site visits, etc.  Advocates for comprehensive early education and other necessary support services for children  Attends all Subsidy Team meetings, Advisory meetings, DEPC staff meetings, and retreats which may include an out-of-town retreat.  Other duties as may be assigned by the Subsidy Program Manager, Program Director and/or Executive Director EDUCATION:  Bachelor’s degree in child development, early childhood education, business, human services or other directly related field.
