Location: Across The Bridal Group stores, with some home working where appropriateHours: Part-time, approximately 20–24 hours per weekSalary: Dependent on experienceAbout the roleWe are looking for an exceptionally organised and proactive Team & Business Support Coordinator to support our growing team across The Bridal Group.This is a varied, behind-the-scenes role focused on making sure our people, systems and customer-care processes run smoothly.

You will coordinate everything from setting up a new team member’s email address and iPad to organising birthday gifts, team incentives, customer-care gestures and monthly internal newsletters.You will work closely with our Head of Operations, store managers and marketing team, becoming the central point of coordination for many of the important details that help our team feel supported and our customers feel genuinely looked after.This would suit someone who loves organisation, systems and people and who naturally notices the small things that others might miss.Key responsibilities:New starter onboardingCoordinate the complete onboarding process for new team members.Prepare and send welcome information before their first day.Set up email addresses, iPads and other equipment.Arrange access to Monday.com, BridalLive, BrightHR, Superchat and other relevant systems.Make sure new starters receive company information, policies, training materials and key contacts.Create and maintain onboarding checklists.Liaise with the relevant manager to make sure induction meetings and initial training are scheduled.Check in after each starter’s first week and first month to identify anything still required.Coordinate the removal of system access and return of equipment when someone leaves the business.Team experience and engagementMaintain an accurate calendar of team birthdays, anniversaries and other important dates.Arrange birthday gifts, flowers, cards and recognition gifts.Coordinate team incentives and ensure gift vouchers or prizes are ordered and distributed promptly.Support managers when a team member requires recognition, additional support or a thoughtful gesture.Coordinate team events, celebrations, training days and occasional group activities.Gather information from across the business and produce a monthly team newsletter.Help maintain positive communication and consistency across all locations.Systems and administrationMaintain an up-to-date record of company iPads, laptops, phones and other IT equipment.Track which team member holds each device, including serial numbers, condition and return dates.Coordinate basic system setup and troubleshoot straightforward access issues.Keep user lists and permissions accurate across the company’s systems.Help set up and maintain email templates, automatic responses and internal workflows.Support the setup and ongoing administration of website chat, AI chat tools and social-media auto-responses.Liaise with external IT or system providers when an issue requires specialist support.Maintain organised records and ensure recurring administrative tasks are completed on time.Customer correspondence and careMonitor designated customer-service inboxes and ensure enquiries are acknowledged and directed to the correct person.Respond to routine customer correspondence using agreed company templates and tone of voice.Track outstanding customer enquiries and follow up with stores to make sure nothing is missed.Coordinate approved customer-care gestures such as flowers, cards, gifts or vouchers.Support store managers when a customer has experienced an issue or requires extra care.Maintain a record of customer-care gestures, costs and outcomes.Help create email templates and automated responses that improve the customer journey without making it feel impersonal.Identify repeated questions or issues that could be resolved through clearer communication or improved processes.Travel and event coordinationCoordinate travel and accommodation for team members attending buying appointments, trade shows, training days, store visits and company events.Research suitable travel options, comparing cost, convenience and cancellation terms.Book approved flights, trains, hotels, transfers and parking within agreed budgets.Prepare clear travel itineraries containing booking confirmations, timings, addresses and contact details.Make restaurant, meeting-room and event reservations where required.Check passport information, luggage requirements and other essential travel details with attendees before booking.Maintain an accurate calendar of business travel and key industry events.Coordinate ticket purchases and registrations for exhibitions, awards, conferences and training events.Communicate arrangements and any subsequent changes clearly to everyone attending.Keep booking confirmations, invoices and receipts organised for the finance team.Assist with changes, cancellations or travel disruptions when required.Ensure all significant costs and non-refundable bookings are approved before payment.Provide administrative support to the Head of Operations with customer orders and deliveries.Double-check order information against signed paperwork and system records before orders are placed, following the company’s order-checking procedure.Log deliveries accurately and immediately flag any discrepancies or damage.Help maintain clear records of dresses received, outstanding orders and issues requiring follow-up.Support stores during especially busy periods or with specific operational projects where required.Store supplies and inventoryMonitor and coordinate supplies required across all store locations.Maintain agreed minimum stock levels for essential items, including stationery, cleaning products, refreshments, packaging, printing materials and customer-experience supplies.Place regular orders with approved suppliers within agreed budgets.Ask store managers to complete a weekly stock check and report anything requiring replenishment.Track orders and follow up on late, missing or incorrect deliveries.Source alternative products or suppliers when required, subject to approval.Keep clear records of spending and provide invoices or receipts to the finance team.Coordinate the distribution of supplies between stores where appropriate.Help prepare additional supplies for events, busy periods, VIP appointments and seasonal campaigns.Identify opportunities to consolidate orders, reduce waste and achieve better value across the group.Escalate unusual, high-value or unbudgeted
