Job Title: Technical Administrative AssistantReporting: Managing Director

Location: Head OfficeAvailability : Immediately ( Required )Job PurposeTo provide high-level administrative and operational support to the Managing Director, ensuring effective coordination of departmental activities, meetings, documentation, reports, correspondence, action items, and follow-ups across the organization.The role requires strong organizational skills, excellent communication, attention to detail, and the ability to coordinate multiple priorities while ensuring the timely completion of assigned tasks.Key ResponsibilitiesProvide direct administrative and management support to the Managing Director and coordinate with relevant departments.Coordinate and follow up on management directives, departmental requirements, project-related administrative matters, and other tasks assigned by the Managing Director.Collect required information, updates, reports, progress data, and supporting documents for the Managing Director's review and decision-making.Prepare reports, summaries, trackers, dashboards, presentations, correspondence, meeting documents, and other reports required by the Managing Director.Maintain the Managing Director's action tracker, follow up directly with responsible managers and departments, monitor deadlines, and drive the timely closure of pending actions.Coordinate internal and external meetings, prepare agendas and minutes where required, record decisions and action items, and monitor the completion of agreed actions.Maintain organized and up-to-date records of correspondence, reports, approvals, meeting minutes, and action trackers.Monitor important deadlines, submissions, approvals, renewals, and pending matters, and proactively remind responsible personnel to ensure timely completion.Identify critical administrative, operational, project, or coordination issues and escalate them promptly to the Managing Director.Support the Managing Director in evaluating operational constraints, resource requirements, priorities, risks, and improvement opportunities.Coordinate communication between the Managing Director and various departments and project teams.Qualifications & SkillsBachelor’s degree in business administration, Engineering, or a closely related discipline.Minimum 4–5 years of relevant experience, preferably within the construction, contracting, engineering, or project-based industry.Proven experience in administrative coordination, management support, project coordination, reporting, document control, and follow-up activities.Excellent written and verbal English communication skills; Arabic is an advantage.Strong analytical, problem-solving, interpersonal, and coordination skills, with high attention to detail and confidentiality.Proficiency in MS Office, particularly Advanced Excel, Word, and PowerPoint.
