Concepts is a Mumbai-based Design & Build company delivering projects across OOH / Outdoor Media, DOOH, Airport Media, Signage, Retail Environments, Commercial Interiors and allied infrastructure.Our projects bring together design, engineering, fabrication, production and on-site execution, requiring close coordination between clients, consultants, vendors, production teams and project sites.About the RoleWe are looking for a Project Coordinator / Project Executive with a technical background to support the Head of Projects at our Mumbai Head Office.This is primarily an office-based project coordination role involving project communication, documentation, drawing coordination, scheduling, vendor and site follow-ups, progress tracking and reporting.The candidate will act as an important coordination link between the Head of Projects, internal design/engineering teams, clients, vendors, fabricators and site teams, helping ensure that information flows accurately, responsibilities are clearly tracked and project actions are completed within agreed timelines.The position offers an opportunity to gain hands-on exposure to Design & Build projects across retail, commercial interiors, signage, OOH/DOOH and related environments.Key ResponsibilitiesAssist the Head of Projects in the day-to-day coordination and monitoring of ongoing projects.Coordinate project-related communication between the Head Office, clients, consultants, design teams, vendors, fabricators and site personnel.Track project activities, deliverables, approvals, material requirements, production schedules and site timelines.Follow up on pending actions and ensure commitments are completed within agreed timelines.Read and understand technical drawings, layouts, specifications, dimensions and basic fabrication details.Coordinate the issue, receipt and circulation of drawings, revisions, specifications and other technical information.Maintain records of approved drawings, revisions, BOQs, specifications, material approvals, samples, site measurements and project correspondence.Prepare and regularly update project trackers, action lists, Minutes of Meetings (MOMs), progress reports and status dashboards.Prepare MOMs and follow up on agreed action points.Coordinate with vendors and fabricators regarding drawings, materials, samples, production status, inspections and dispatch schedules.Obtain regular progress updates, photographs and reports from project sites and highlight delays, discrepancies or issues requiring attention.Assist in identifying coordination gaps, technical issues and potential project delays and escalate them appropriately.Support coordination of material dispatches, site requirements and installation schedules.Assist with basic quantity calculations, BOQs, comparative statements and other project-related technical/commercial documentation.Participate in internal project review meetings and prepare clear project status updates.Ensure project documentation and communication are systematically maintained throughout the project lifecycle.Qualifications & Experience1–3 years of relevant experience in Project Coordination, Project Execution, Technical Coordination, Design & Build, Construction, Interior Fit-outs, Engineering, Signage, Fabrication or a related fields.Diploma or Bachelor's Degree in Mechanical, Civil, Production, Architecture, and or Interior Design. Ability to read and understand technical drawings, layouts, dimensions and specifications.Basic knowledge of AutoCAD or other relevant technical drawing software will be preferred.What we're looking forWe are looking for someone who is technically oriented, organised and detail-focused, with the ability to coordinate effectively across design, engineering, production, vendors and project sites.The ideal candidate should be comfortable working with drawings, BOQs, materials, fabrication requirements, project documentation and execution timelines, while proactively following up on tasks and identifying potential issues.If you have experience in Design & Build, Interior Fit-outs, Construction, Fabrication, Engineering, Signage, Retail or related project environments, we'd like to hear from you.Apply Now!
