Apply & track with Apply EdgeJob Title: TMO Administrator Reporting to: Head of TransformationLocation: Luxembourg, London, Ireland or Amsterdam Business Unit: Global Financial SolutionsContract: Permanent, Full time, 40h/weekWork Mode: Hybrid (3 days per week onsite)The salary range for this specific role will be €50.000 – € 60.000 gross per year.The final salary will be determined based on relevant skills, experience, and role scope, in line with our objective and gender-neutral compensation framework.The TMO Administrator supports the day-to-day operations of the Transformation Management Office by bringing structure, discipline, and follow-through to core administrative processes. This role helps ensure that TMO meetings, documentation, SharePoint sites, trackers, and team routines are well organized, consistently maintained, and easy for stakeholders to navigate. This role is well suited for an organized, proactive colleague with strong administrative experience who can apply those capabilities in a transformation environment. The position provides an opportunity to build exposure to transformation work while contributing immediate value through coordination, documentation support, meeting support, and team enablement. Over time, the role may provide exposure to broader transformation governance, project coordination, and change management activities.Some of the things you will be doingDocumentation coordination and SharePoint administration: Support the day-to day organization of the TMO documentation repository, including folder structure, naming conventions, version discipline, access coordination, and document hygiene across SharePoint and related collaboration spaces.Meeting coordination and team routines: Coordinate recurring internal TMO meetings and working sessions, including scheduling, agenda logistics, note taking, follow-up reminders, and maintenance of core team calendars and routines.Administrative tracking tools: Create and maintain practical trackers, logs, and team tools that improve transparency, reduce information gaps, and help the TMO manage work across multiple concurrent priorities.Document and process support: Assist with preparing, formatting, organizing, and maintaining TMO materials, templates, process documents, governance artifacts, and recurring reports.Operational follow-through: Help embed consistent ways of working across the TMO by maintaining shared documentation, trackers, action logs, process standards, and administrative follow-up. What technical skills, experience and qualifications do you need?Administrative, coordination, or business support experience in a fast-moving corporate environment. Strong organizational skills, attention to detail, and ability to manage multiple concurrent activities.Experience coordinating meetings, managing calendars, preparing materials, and following up on actions.Comfort working with SharePoint, Microsoft Teams, Outlook, PowerPoint, Word, and Excel.Ability to create and maintain practical trackers, logs, and working tools that improve team visibility and efficiency.Clear written and verbal communication skills, with the ability to capture decisions, actions, and follow-ups accurately.Proactive mindset, ownership of tasks, and ability to bring structure to ambiguous or evolving work. Experience supporting documentation, filings, formal processes, legal or corporate documentation, or stakeholder coordination is beneficial. What will make you stand outDemonstrated initiative in designing or improving internal tracking tools, processes, or ways of working.Experience coordinating across multiple stakeholders, including senior internal stakeholders and external parties.Ability to identify administrative pain points and create simple, effective solutions. Experience supporting process transitions, such as moving from manual to digital workflows.
