We are looking for a proactive travel professional who can coordinate bookings and activities while ensuring guests receive accurate and timely support.The RoleWe are seeking an experienced Tour Booking Assistant / Excursion Assistant / Activity Coordinator to support tour reservations, excursion arrangements, activity schedules, supplier coordination, guest communications, and travel administration.The ideal candidate is organized, customer-focused, and comfortable managing multiple bookings, suppliers, schedules, and guest requests simultaneously.Key ResponsibilitiesAssist with daily tour, excursion, activity, and experience reservations.Receive and process booking requests through approved channels, including email, phone, booking platforms, websites, and partner systems.Confirm tour availability, schedules, pricing, inclusions, meeting points, duration, and booking conditions.Coordinate reservations with tour operators, activity providers, hotels, transport companies, guides, and local suppliers.Maintain accurate booking records, guest information, payment status, confirmation numbers, and supplier details.Issue booking confirmations, vouchers, itineraries, tickets, meeting-point instructions, and other required travel documents.Communicate professionally with guests before, during, and after scheduled activities.Respond to questions regarding tours, excursions, activities, transportation, schedules, cancellation policies, and inclusions.Coordinate guest preferences, accessibility requirements, dietary requests, pickup arrangements, and other approved special requests.Monitor booking changes, cancellations, postponements, no-shows, and amendments.Follow up with suppliers to reconfirm bookings and ensure accurate availability.Coordinate airport transfers, hotel pickups, transport arrangements, and activity logistics where applicable.Prepare daily activity schedules and operational lists for guides, drivers, suppliers, and internal teams.Track tour capacity, availability, booking cut-off times, and supplier confirmation deadlines.Assist with last-minute booking requests and schedule changes while maintaining accurate records.Coordinate with tour guides and activity coordinators regarding guest numbers, meeting points, timings, and special requirements.Assist with resolving booking discrepancies, service delays, missed pickups, and guest concerns.Escalate significant complaints, safety concerns, refund requests, or supplier issues to authorized management.Process or coordinate approved payments, refunds, cancellations, commissions, and booking adjustments according to company procedures.Maintain accurate records of invoices, supplier charges, guest payments, commissions, and booking documentation.Assist finance and operations teams with reconciliation of tour and activity bookings.Monitor supplier performance, guest feedback, service quality, punctuality, and booking accuracy.Maintain an updated database of tours, excursions, activities, suppliers, pricing, operating schedules, and booking conditions.Support promotional campaigns, seasonal activities, special packages, group bookings, and travel events.Research new excursions, attractions, experiences, and local suppliers to expand the activity portfolio.Monitor competitor offerings, destination trends, seasonal demand, and customer preferences.Prepare daily, weekly, and monthly reports covering bookings, cancellations, revenue, supplier performance, and guest feedback.Maintain confidentiality of guest personal information, payment details, commercial terms, and supplier agreements.Follow company travel policies, supplier agreements, customer-service standards, safety procedures, and applicable UAE regulations.Identify opportunities to improve booking efficiency, guest satisfaction, supplier coordination, and overall travel experience.RequirementsDiploma or Bachelor’s degree or equivalent qualification in Tourism, Hospitality, Travel Management, Business Administration, or a related field is preferred.3+ years of professional experience in travel operations, tour bookings, reservations, hospitality, tourism, guest services, or activity coordination is preferred.Strong understanding of tour reservations, excursions, travel coordination, supplier communication, and guest-service processes.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, Russian, or German are advantageous.Strong customer-service, communication, organization, and problem-solving skills.Excellent attention to detail when handling booking information, schedules, guest details, payments, and confirmations.Ability to manage multiple bookings, suppliers, deadlines, and guest requests simultaneously.Strong follow-up and coordination skills with external suppliers and internal teams.Comfortable working with changing schedules and occasional urgent booking requirements.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, booking platforms, and CRM systems.Experience with travel reservation systems, OTA platforms, tour-operator software, or activity-management systems is advantageous.UAE or GCC travel, tourism, hospitality, or destination-management experience is advantageous.Existing relationships with hotels, tour operators, activity providers, transport companies, or local guides are advantageous.Travel, tourism, hospitality, or customer-service certifications are advantageous
