We are looking for a versatile professional who can manage business documentation while supporting studio and inventory activities.The RoleWe are seeking an experienced Trade License Renewal Helper / Studio Assistant / Inventory Clerk to support UAE trade-license administration, document preparation, studio coordination, inventory tracking, stock records, and general operational activities.The ideal candidate is detail-oriented, organized, proactive, and comfortable managing deadlines, documents, suppliers, inventory records, and multiple administrative priorities.Key ResponsibilitiesTrack UAE trade-license expiry dates, renewal deadlines, and related administrative requirements.Maintain accurate records of trade licenses, permits, certificates, registration documents, and renewal statuses.Prepare, organize, scan, and file approved documents required for license renewals.Coordinate with authorized business owners, PROs, consultants, government-service providers, and internal departments.Follow up on missing documents, signatures, approvals, payments, and information required for renewal applications.Maintain renewal trackers, submission records, payment confirmations, correspondence, and supporting documents.Assist with appointments and document submissions through approved authorities or service providers.Monitor expiry dates for establishment cards, permits, tenancy-related documents, and other business records where applicable.Escalate complex regulatory, legal, immigration, or licensing matters to authorized professionals.Maintain confidentiality of company, shareholder, employee, financial, and regulatory information.Assist with daily studio administration, scheduling, and operational coordination.Organize studio calendars, room bookings, equipment availability, supplies, and routine administrative requests.Coordinate with staff, contractors, suppliers, clients, visitors, and service providers.Prepare studio workspaces, meeting areas, equipment, materials, and production requirements.Maintain studio booking records, task lists, visitor information, and operational documentation.Support basic reception, customer-service, communication, and appointment activities where required.Monitor studio supplies and report shortages, damaged equipment, or maintenance requirements.Receive, record, label, organize, and store inventory, equipment, materials, and supplies.Verify incoming goods against purchase orders, delivery notes, packing lists, and approved records.Record product codes, descriptions, quantities, units, condition, storage locations, and receipt dates accurately.Conduct stock counts, cycle counts, and inventory checks according to established procedures.Reconcile physical inventory against system records and investigate discrepancies.Record authorized stock receipts, transfers, returns, dispatches, adjustments, and damaged items.Monitor minimum stock levels and notify purchasing or operations teams when replenishment is required.Coordinate with suppliers, warehouses, purchasing, logistics, finance, and studio teams regarding inventory requirements.Maintain inventory registers, stock trackers, inspection records, and discrepancy logs.Assist with equipment allocation, transfers, returns, maintenance records, and asset documentation.Prepare regular reports covering license renewals, studio activities, inventory levels, stock movements, and outstanding tasks.Maintain organized electronic and physical filing systems for licensing, studio, purchasing, supplier, and inventory documentation.Support internal audits, documentation reviews, stock inspections, and operational quality checks.Protect confidential business, licensing, supplier, customer, financial, and inventory information.Follow company policies, licensing procedures, document-control requirements, inventory controls, data-protection standards, workplace safety procedures, and applicable UAE regulations.Identify opportunities to improve renewal tracking, document organization, studio coordination, inventory accuracy, and operational efficiency.RequirementsBachelor’s degree or equivalent qualification in Business Administration, Public Administration, Logistics, Supply Chain, Operations, or a related field is preferred.3+ years of professional experience in business administration, licensing support, PRO services, studio operations, inventory control, logistics, or general administration is preferred.Experience with UAE trade-license renewal or business-document administration is highly advantageous.Familiarity with UAE business licensing procedures, government-service portals, and corporate documentation is advantageous.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Strong organizational, multitasking, prioritization, and follow-up skills.Exceptional attention to detail when handling expiry dates, license documents, inventory records, quantities, and business information.Ability to manage multiple deadlines and administrative tasks simultaneously.Professional communication skills when dealing with suppliers, service providers, employees, and business stakeholders.Strong problem-solving and record-management skills.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, ERP, inventory, document-management, and business-administration systems.Experience with SAP, Oracle, Microsoft Dynamics, Odoo, Zoho, SharePoint, or comparable platforms is advantageous.Familiarity with UAE government portals and business-service platforms is advantageous.UAE or GCC experience in corporate services, creative studios, retail, logistics, trading, real estate, hospitality, or professional services is advantageous.Licensing, PRO, logistics, inventory, project-management, or administrative certifications are advantageous but
