This role requires discretion, flexibility, and the ability to anticipate needs while coordinating complex, high-standard travel arrangements across multiple destinations.Key Responsibilities:Plan, book, and manage all family travel, including flights, private jet charters, accommodations, and ground transportationCoordinate itineraries for multiple family members, including children, extended family, and guests, sometimes traveling separatelyLiaise with private aviation companies, luxury hotels, villa rental agencies, and concierge servicesHandle visa applications, passport renewals, and travel documentation for all family membersArrange travel insurance and ensure compliance with international travel requirementsManage last-minute changes, cancellations, and emergencies with speed and discretionResearch and recommend destinations, experiences, and accommodations tailored to family preferencesCoordinate with household staff, security, and personal assistants to align travel plans with the family's scheduleMaintain strict confidentiality regarding the family's travel plans and personal informationManage travel budgets and maintain detailed expense recordsBe available for occasional travel with the family, if requiredRequirementsProven experience as a travel planner, personal assistant, or in a similar role supporting UHNW/private familiesStrong network of contacts in luxury travel, private aviation, and hospitalityExceptional discretion and ability to maintain confidentialityExcellent organizational skills with the ability to manage multiple, often changing, prioritiesStrong communication skills and a calm, professional manner under pressureAvailability outside standard business hours, including evenings/weekends, as travel needs ariseValid driver's license (if local coordination is required)Fluency in English required; additional languages (Arabic, French, etc.) are a strong plusPreferred:Background in luxury travel agencies, private aviation, or hospitality managementExisting relationships with luxury hotel groups, private jet operators, and concierge networksExperience working within a family office or private household setting
