Role OverviewWe are seeking an experienced and highly discreet Trust Administrator to support the management and administration of trusts, private wealth structures and associated entities for an Ultra-High-Net-Worth (UHNW) private client.The successful candidate will be responsible for the accurate day-to-day administration of trust structures, maintaining statutory and governance records, coordinating with trustees and professional advisers, and ensuring that all activities are conducted in accordance with relevant legal, regulatory and fiduciary requirements.This position requires exceptional confidentiality, attention to detail and professionalism, together with previous experience supporting UHNW individuals, families, family offices, trust companies or private wealth structures.Key ResponsibilitiesTrust AdministrationManage the day-to-day administration of trusts and related private wealth structures.Maintain accurate trust records, registers, resolutions, minutes and supporting documentation.Prepare trustee meeting packs, agendas, minutes and written resolutions.Coordinate trustee decisions and ensure appropriate documentation and approvals are maintained.Process distributions, contributions and other trust-related transactions.Maintain records relating to beneficiaries, settlors, protectors and trustees.Monitor key trust dates, reporting obligations and administrative deadlines.Assist with the establishment, amendment, restructuring and closure of trusts and associated entities.UHNW & Family Office SupportProvide administrative support across the client's wider private wealth structure.Liaise confidentially with the Principal, family members and authorised representatives where required.Coordinate with lawyers, accountants, tax advisers, investment managers, banks, trustees and other professional advisers.Support administration relating to family investment vehicles, holding companies, foundations and SPVs where applicable.Assist with documentation relating to significant assets and investments.Ensure sensitive family and financial information is handled with the highest level of discretion and confidentiality.Governance & ComplianceEnsure trust administration complies with relevant trust deeds, governing documents and applicable legislation.Maintain KYC, AML and client due-diligence documentation.Coordinate periodic compliance reviews and ensure records remain current.Support regulatory and statutory filings where applicable.Maintain beneficial ownership and corporate records for associated entities.Work closely with legal and tax advisers on cross-border trust and wealth-structuring matters.Ensure appropriate governance and approval processes are followed for transactions and distributions.Banking & Financial AdministrationLiaise with private banks, investment managers and financial institutions.Coordinate account openings, banking documentation and authorised signatory requirements.Process and monitor payments and distributions following appropriate approvals.Maintain accurate records of trust assets, liabilities and transactions.Assist with cash-flow monitoring and periodic financial reporting.Coordinate with accountants regarding trust accounts, tax returns and annual financial statements.Documentation & ReportingMaintain comprehensive electronic and physical trust files.Prepare periodic trust administration and asset reports.Maintain accurate records of investments, properties and other assets held within trust structures.Ensure documentation is appropriately executed, filed and readily available for audit or regulatory review.Establish effective systems for tracking deadlines, actions and outstanding documentation.Candidate ProfileTypically 5–10+ years' experience in trust administration, private client services, fiduciary services, private banking or a family office environment.Previous experience working with UHNW individuals or families is strongly preferred.Strong practical understanding of trusts, foundations, holding companies and private wealth structures.Experience dealing with complex and ideally cross-border wealth structures.Good understanding of KYC, AML, beneficial ownership and fiduciary governance requirements.Comfortable working with lawyers, tax advisers, trustees, banks and investment managers.Excellent administrative and organisational capability.Strong written communication and document-management skills.Able to manage highly confidential information with absolute discretion.QualificationsRelevant qualifications in Trust & Estate Administration, Law, Accounting, Finance or Business Administration would be advantageous.STEP / TEP qualification, or progress towards STEP membership, would be
