experienced Vetting Assistant / Supermarket Host / Workshop Admin Helper to support background-screening administration, document verification, customer assistance, retail operations, workshop records, service scheduling, inventory documentation, and general administrative activities.The ideal candidate is detail-oriented, discreet, approachable, organized, and comfortable handling sensitive personal information, customer requests, technical records, suppliers, and multiple operational priorities.Key ResponsibilitiesAssist with routine employee, contractor, vendor, or customer vetting administration according to approved procedures.Receive, organize, verify, scan, and maintain identification documents, application forms, employment information, references, certificates, and supporting records.Check submitted information for completeness, consistency, validity, and required documentation.Enter approved screening information accurately into authorized HR, compliance, CRM, or case-management systems.Maintain vetting trackers covering applicants, reference numbers, submission dates, screening stages, outstanding documents, and completion status.Coordinate with candidates, employees, HR teams, compliance personnel, authorized screening providers, and relevant internal departments.Follow up on missing documents, incomplete forms, expired identification, pending references, and outstanding verification requirements.Assist with approved employment, education, address, identity, professional-reference, or document verification processes.Maintain accurate records of screening outcomes, supporting evidence, correspondence, and case status.Identify inconsistencies or missing information and escalate them to authorized personnel rather than making independent screening decisions.Assist with periodic record reviews, document renewals, and administrative remediation activities.Maintain organized electronic and physical files for vetting applications, verification documents, correspondence, and approvals.Protect highly confidential personal, identification, employment, financial, and background-screening information.Follow applicable data-protection, privacy, confidentiality, compliance, and information-security procedures.Welcome customers, shoppers, suppliers, delivery partners, and visitors professionally at supermarket or retail locations.Assist customers with routine inquiries regarding products, store services, promotions, departments, collections, and general store information.Support customer check-in, service-desk activities, queue management, order collection, returns, and routine requests where authorized.Coordinate with cashiers, department supervisors, customer service, security, inventory, delivery teams, and store management.Assist with customer orders, click-and-collect services, delivery coordination, product availability checks, and approved reservations.Maintain accurate customer-service logs, order records, visitor information, and daily activity reports.Help maintain professional presentation of customer-service areas, information desks, promotional areas, and designated store spaces.Monitor customer-service areas and report shortages, damaged products, spills, equipment issues, or safety concerns promptly.Handle customer complaints courteously and escalate serious service, safety, security, privacy, or product-quality concerns appropriately.Assist with receiving, organizing, filing, and maintaining workshop administrative documentation.Schedule approved vehicle or equipment service appointments, inspections, repairs, maintenance activities, and customer collections.Maintain service records including work orders, job references, customer information, equipment or vehicle details, service dates, mileage, and maintenance history.Coordinate with technicians, mechanics, service advisors, customers, suppliers, parts teams, logistics providers, and workshop management.Prepare approved job cards, service requests, inspection forms, quotations, invoices, delivery notes, and supporting documentation.Track repair progress, parts requirements, approvals, technician assignments, expected completion dates, and outstanding jobs.Update customers or internal teams with approved service-status information and follow up on delayed or incomplete work.Verify service documentation against approved work orders, parts records, quotations, invoices, and inspection reports.Assist with checking incoming spare parts, tools, equipment, and workshop supplies against delivery documents.Maintain workshop inventory records, parts registers, equipment logs, supplier information, and stock-movement documentation.Identify missing, damaged, incorrect, or delayed parts and escalate discrepancies to the appropriate team.Assist with warranty documentation, supplier returns, service claims, replacement requests, and maintenance records.Maintain organized electronic and physical workshop files and ensure documents are easy to retrieve.Assist with customer vehicle or equipment handover and collection documentation according to approved procedures.Support routine inventory counts, document checks, workshop audits, and operational quality reviews.Prepare daily, weekly, and monthly reports covering vetting cases, customer-service activity, workshop jobs, inventory, and outstanding tasks.Maintain organized records covering screening, customer, supplier, service, inventory, and operational documentation.Protect confidential employee, customer, vehicle, financial, supplier, and commercial information.Follow company compliance procedures, retail-service standards, workshop policies, inventory controls, workplace safety requirements, data-protection standards, and applicable UAE regulations.Escalate security incidents, serious customer complaints, privacy concerns, safety hazards, significant documentation discrepancies, or workshop issues promptly.Identify opportunities to improve screening-document accuracy, customer experience, workshop administration, service tracking, and operational efficiency.RequirementsBachelor’s degree or equivalent qualification in Business Administration, Human Resources, Compliance, Retail Management, Automotive Management, Logistics, or a related field is preferred.3+ years of professional experience in vetting, background screening, HR administration, retail customer service, supermarket operations, workshop administration, automotive service, inventory, or operations is preferred.Experience across two or more of vetting administration, document verification, retail customer service, workshop administration, inventory control, or logistics is advantageous.Strong understanding of confidential document handling, customer service, administrative procedures, workshop records, and operational coordination.Familiarity with background screening, identity verification, employment checks, reference checks, or compliance case-management systems is advantageous.Familiarity with automotive workshops, service-management systems, work orders, spare parts, maintenance records, or vehicle-service procedures is advantageous.Retail, supermarket, FMCG, POS, inventory, or customer-service experience is advantageous.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Professional, discreet, approachable, organized, reliable, and service-oriented manner.Exceptional attention to detail when handling personal documents, customer information, service records, part numbers, inventory quantities, and administrative records.Strong organizational, numerical, multitasking, prioritization, and follow-up skills.Ability to handle sensitive personal and confidential information responsibly.Strong communication, coordination, observation, and problem-solving skills.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, HR, CRM, ERP, inventory, and document-management systems.Advanced Excel skills, including PivotTables, lookups, filters, and reconciliation techniques, are advantageous.Experience with SAP, Oracle, Microsoft Dynamics, Salesforce, Odoo, NetSuite, or comparable platforms is advantageous.What
