Job PurposeThe Warehouse Specialist is responsible for managing and coordinating warehouse activities, including receiving, storing, issuing, and monitoring materials and products. The role ensures inventory accuracy, proper storage conditions, product safety, and compliance with company policies and procedures to support efficient warehouse operations and uninterrupted material availability.Key ResponsibilitiesReceive materials and products and verify them against purchase orders and delivery documents in terms of quantity, type, and condition.Inspect received items and report any damage, shortages, discrepancies, or specification variances.Organize and store materials efficiently according to approved warehouse procedures and storage standards.Pick, issue, and deliver materials based on approved requests and documentation.Record and update all inventory transactions, including receipts, issues, transfers, and returns, in the inventory management or ERP system.Monitor inventory balances and ensure system records accurately reflect physical stock.Participate in periodic and cycle stock counts and assist in investigating and resolving inventory discrepancies.Monitor slow-moving, obsolete, damaged, or near-expiry items and prepare the required reports.Apply appropriate inventory rotation methods, including FIFO (First In, First Out) and FEFO (First Expired, First Out) when applicable.Maintain warehouse cleanliness, organization, and safety in accordance with occupational health and safety requirements.Ensure proper labeling, coding, and identification of materials and storage locations.Coordinate with Procurement, Finance, Production, Sales, and other relevant departments to ensure smooth warehouse operations.Prepare periodic reports related to inventory levels, stock movements, discrepancies, and material requirements.Monitor minimum and maximum stock levels and support efforts to prevent stock shortages or overstocking.Ensure compliance with internal policies, procedures, and controls while safeguarding company inventory and assets.Perform any other duties related to the position as assigned by the direct supervisor.Educational QualificationsDiploma or Bachelor’s degree in Supply Chain Management, Warehouse Management, Logistics, Business Administration, or a related field.Experience2–3 years of experience in warehouse operations, inventory management, or logistics.Experience with Warehouse Management Systems (WMS) or Enterprise Resource Planning (ERP) systems is preferred.Skills and CompetenciesStrong inventory organization and management skills.Good computer skills, particularly Microsoft Office and Excel.Ability to use inventory management and ERP systems.High attention to detail and accuracy.Strong organizational and time-management skills.Ability to work effectively as part of a team and coordinate with different departments.Good reporting and data-monitoring skills.Problem-solving and corrective-action skills.Good understanding of warehouse safety and storage procedures.Ability to work under pressure in a fast-paced operational environment.Key Performance Indicators (KPIs)Inventory accuracy and physical-to-system stock variance.Accuracy of receiving and issuing transactions.Inventory variance percentage identified during stock counts.Processing time for material requests and issues.Percentage of damaged or lost inventory.Compliance with warehouse safety and storage procedures.Timeliness and accuracy of inventory transactions recorded in the system.
