As our wholesale business grows, we're looking for a Wholesale Operations Executive to be the operational backbone of our accounts — making sure every order, sample, and shipment moves smoothly from confirmation to delivery, and that we always know exactly how each account is performing.This is a hands-on, detail-driven role for someone who loves systems, numbers, and follow-through, and who wants to build a career in fashion wholesale.What You'll DoOrder managementLog new wholesale sales orders accurately and promptly in our systemsFollow every order through its full lifecycle, tracking it against confirmed ship windows to ensure correct and on-time despatchLiaise closely with the warehouse team to confirm correct booking-in procedures and account-specific ticketing/labelling requirements are met for every wholesale shipmentManage order confirmation process with customers, providing them with any relevent documentation or data needed for their order.Account & marketplace managementOwn marketplace curation for each wholesale account — keeping product assortments, imagery, and listings current and accurate across our wholesale marketplace platform(s)Partner with the Sales Director on outreach to prospective new wholesale accountsManage in-season follow-up with existing accounts to maximize reorders and resolve issues quicklyManage product listings in B2B portal Nu OrderMaintain line sheets, pricing, costs, and margin accuracy across systemsOwn SKU setup, UPCs, and master data accuracy for wholesaleBuild and maintain operational trackers for orders, shipments, compliance, and performanceReporting & growthBuild and maintain regular account-level reporting, tracking performance against the equivalent prior periodFlag growth opportunities and at-risk accounts, using data to inform where the sales team should focusLogistics, Fulfillment & 3PL ManagementOwn routing guides, ship windows, cartonization, labeling, and retailer-specific requirementsOversee ASN creation, packing lists, BOLs, and all shipping documentationSupport international wholesale shipments including export documentation, Incoterms, and delivery coordinationProactively flag risks related to timing, inventory, or capacityEDI, Compliance & ChargebacksOwn EDI coordination and troubleshooting across major retail partnersEnsure compliance with retailer requirements to minimize chargebacks and deductionsTrack, research, and resolve chargebacks in partnership with Finance teamMaintain compliance documentation and retailer onboarding requirementsSamplesCoordinate and arrange seasonal sample requests and shipments for agents and distributors, keeping track of what's been sent, to whom, and whenWhat We're Looking ForHighly organized, with strong attention to detail and a "nothing falls through the cracks" approachNumbers-driven and comfortable working in spreadsheets and reporting tools to track account performanceExcellent follow-up skills — persistent and proactive about chasing open orders, outstanding samples, and unresolved issuesA genuine interest in fashion and the wholesale side of the industryStrong communicator, confident liaising across sales, warehouse, and external accounts (agents, distributors, retail buyers)Comfortable managing multiple accounts and priorities at oncePrior experience in wholesale operations, sales support, or account coordination (fashion/footwear a plus, not required)Based in or able to commute to our West Hollywood office five days a week
