Logistics & Operations Executive

JOB PURPOSEWe are looking for a detail-oriented and proactive Logistics & Operations Executive to coordinate KYAN’s global logistics operations, including collection kits, drug plates, and patient sample shipments. The role ensures accurate, timely, and compliant movement of materials and biological samples between our laboratories, clinical sites, and research partners worldwide, while supporting office administration, billing coordination, and day-to-day operations.KEY ACCOUNTABILITIES1. Collection Kit Management

• Coordinate preparation, assembly, quality checks, and dispatch of collection kits to clinical sites worldwide.
• Maintain kit inventory records, monitor stock and expiration dates, and coordinate timely replenishment.
• Work with commercial and laboratory teams to anticipate site requirements and ensure kit readiness.
• Verify that kits contain the correct materials, instructions, labels, and documentation.2. Drug Plate Logistics
• Coordinate drug plate inventory, storage, and distribution to external laboratory partners.
• Work with laboratory personnel to align plate availability with testing and research schedules.
• Monitor stock levels, expiration dates, and replenishment needs; maintain accurate dispatch records.
• Arrange shipments with appropriate packaging, handling, documentation, and transportation conditions.3. Global Patient Sample Logistics
• Coordinate local and international patient sample shipments from clinical sites to KYAN laboratories.
• Liaise with couriers, freight forwarders, customs agents, and clinical coordinators on collection, delivery, and clearance.
• Prepare and verify airway bills, commercial invoices, permits, and biological material shipping documentation.
• Proactively track shipments, flag delays, and coordinate timely escalation and resolution.
• Communicate expected arrivals to laboratory personnel and maintain collection, transit, delivery, and incident records.
• Serve as the primary contact for shipment-related inquiries from clinical sites.4. Office Administration & Operational Support
• Assist Finance with timely collection and verification of information required for invoicing.
• Work with Finance and Commercial to resolve missing requisition, order, sponsor, or payer information.
• Manage meeting room bookings, visitor arrangements, building access cards, and office supplies.
• Coordinate office vendors and support workplace safety administration, including committee activities, training records, drills, and incident reporting.5. Operational Performance & Continuous Improvement
• Monitor and report collection kit availability and fulfillment timeliness; patient sample on-time delivery and transit times.
• Track drug plate shipment accuracy and fulfillment, logistics-related sample failures, and shipping incidents.
• Monitor logistics costs and identify improvements to shipment reliability, inventory management, and operational efficiency.
• Support development and improvement of logistics procedures and workflows.EDUCATION, EXPERIENCE, AND SKILLS
• Diploma or degree in logistics, supply chain management, life sciences, business administration, or a related field (or equivalent experience).
• 1–3 years of experience in logistics, supply chain coordination, client services, or operations; healthcare, laboratory, or clinical research experience is an advantage.
• Familiarity with international shipping, customs procedures, and biological sample transport (e.g., UN3373) is preferred; training can be provided.
• Excellent attention to detail, organization, and ability to manage concurrent time-sensitive shipments.
• Proactive problem-solving, clear communication, and confidence coordinating with clinicians, couriers, vendors, and colleagues.
• Proficiency in Microsoft Office, particularly Excel; sound judgment in handling confidential patient information.
