This is an exciting opportunity for an experienced Proposal Specialist to join our growing team in the Greater Sacramento and Greater Reno Region. This position offers the opportunity to work directly with company leadership and technical teams and play an important role in the pursuit of new business opportunities.ResponsibilitiesThe Proposal Specialist will lead the development and production of proposals, statements of qualifications, and related pursuit materials from initial solicitation review through final submission. The position combines strong proposal writing and editing skills with hands-on Adobe InDesign production, graphic development, document layout, and pursuit coordination.The key responsibilities of the Proposal Specialist include:Lead development of bids, proposals, statements of qualifications, and other competitive submissions from solicitation review through final delivery.Identify RFP requirements, evaluation criteria, required forms, and submission requirements.Develop compliance matrices, pursuit schedules, assignments, and review milestones.Write, edit, and refine proposal content, including executive summaries, qualifications, technical approaches, project descriptions, resumes, and other pursuit-specific narratives.Design and produce proposal documents in Adobe InDesign, including page layouts, resumes, project sheets, organizational charts, workflows, graphics, and other visual elements.Coordinate proposal materials and inputs from technical staff, teaming partners, subconsultants, subcontractors, and vendors.Support bid preparation, including coordination of required bid forms, qualifications, schedules, subcontractor and vendor information, and other required submission materials.Perform detailed compliance and quality-control reviews prior to submission.Maintain and improve proposal materials, including staff resumes, project descriptions, qualifications, templates, graphics, and past-performance information.Support multiple concurrent pursuits and deadlines while maintaining the quality, accuracy, and consistency of deliverables.QualificationsBachelor’s degree in English, Journalism, or a related field.5+ years of progressively responsible proposal experience, preferably within the AEC or construction industry.Demonstrated experience independently managing complex bids, proposals, and/or statements of qualifications from kickoff through final submission.Advanced proficiency in Adobe InDesign is required.Proficiency in Microsoft Word, PowerPoint, and Excel.Prior experience with AEC proposals preferred.Key Candidate AttributesStrong communication, leadership, and interpersonal skills.High attention to detail, accuracy, and deadlines.Strong document layout and graphic-development skills, with demonstrated ability to produce polished, professional pursuit materials.Excellent writing, editing, proofreading, and document-organization skills.Strong attention to detail and ability to accurately incorporate review comments and maintain consistency across successive drafts.Strong organizational skillsAbility to manage multiple concurrent deadlines.Compensation and Benefits Salary: $100,000 – $125,000 USD per year, commensurate with experience.Healthcare: medical, dental, vision.PTO and tuition reimbursement.Note: Visa sponsorship is not available; candidates must be authorized to work in the U.S.3Vi is an Equal Opportunity Employer.
