Clinical Research Coordinator
Aayus Research · Austin, TX
Tailor my CV for this job — freeAbout UsAt Aayus Research, we conduct clinical research that improves patient outcomes in sleep medicine, obesity, and general health. We are a physician-founded, non-academic clinical trial site, and we operate with the pace and accountability of an independent practice rather than an academic institution. We value honesty, quality, and patient-centered care, and we give experienced team members real ownership over how the work gets done.Position SummaryAayus Research, in collaboration with TBG, LLC, is seeking an experienced Clinical Research Coordinator (CRC) who has run study operations in a non-academic, private-practice research setting and is comfortable owning that work with minimal oversight. This is not an entry-level or trainee role. We're looking for a self-starter who already knows how a private research site runs day to day — sponsor and CRO relationships, protocol execution, participant management, and regulatory documentation — and who can step in, take ownership of a study caseload, and manage it independently from startup through closeout. You'll work closely with the Principal Investigator and study teams, but you should expect to be trusted to make sound, protocol-consistent judgment calls on your own rather than be walked through each task.Key ResponsibilitiesStudy Ownership and Coordination
- Independently manage assigned studies from startup through closeout, with minimal day-to-day direction.
- Execute study protocols in full compliance with ICH-GCP, sponsor requirements, and site SOPs.
- Maintain source documentation, regulatory binders, study logs, and tracking tools to an inspection-ready standard without prompting.
- Enter and reconcile data in electronic data capture (EDC) systems accurately and on sponsor timelines and/or weekly.
- Coordinate and schedule participant visits and study activities, anticipating scheduling conflicts before they become problems.
- Drive participant recruitment and retention strategies, using prior experience to identify what will and won't work for a given protocol.Patient Care and Clinical Support
- Perform and document vital signs (blood pressure, heart rate, temperature, weight).
- Perform phlebotomy; process and ship specimens per protocol requirements.
- Lead participant visits, including screening, enrollment, and follow-up, with full confidence handling unexpected issues as they arise.
- Conduct study procedures (e.g., electrocardiograms, sample collection, sleep-related assessments) independently once trained on a protocol.
- Identify, document, and escalate adverse events and changes in participant status promptly and per site procedures.Regulatory and Quality
- Support the informed consent process alongside the Principal Investigator/Sub-Investigator, per GCP and site policy.
- Proactively maintain audit- and inspection-ready documentation without being told to.
- Prepare for and manage monitoring visits, audits, and sponsor/CRO requests directly.
- Own proper handling, accountability, and documentation of study supplies and specimens.Operations and Communication
- Communicate professionally and confidently with participants, internal staff, and external sponsors/CROs.
- Use Microsoft 365 applications (Outlook, Word, Excel, PowerPoint) to support daily operations.
- Navigate clinical and research systems (EDC, CTMS, eSource / paper source) with minimal ramp-up time.
- Juggle multiple active studies, prioritize competing deadlines, and keep things moving without needing to be managed.QualificationsRequired
- 5+ years of clinical study coordinator experience in a private-practice, non-academic research setting, including direct work with sponsors, CROs, and vendors.
- Demonstrated track record running study operations independently — not just executing assigned tasks, but owning outcomes.
- Clinical background (e.g., CNA, Medical Assistant, Medical Technician, LPN, or equivalent).
- Hands-on experience obtaining vital signs and performing blood draws/phlebotomy and ECGs/EKGs.
- Sound independent judgment and the ability to make protocol-consistent decisions without step-by-step direction.
- Strong critical thinking skills and meticulous attention to detail.
- Proven ability to manage a multi-study caseload, prioritize, and meet deadlines with minimal supervision.
- Proficiency with email and Microsoft 365 applications.
- A self-starter mindset — comfortable identifying what needs to happen and doing it, rather than waiting to be assigned each step.Preferred
- Experience in sleep medicine, metabolic medicine, obesity care, or general medicine settings.
- History of mentoring or overseeing more junior coordinators or research staff.
- Established relationships with sponsors or CROs in the therapeutic areas above.Performance Expectations
- Own assigned studies end-to-end, completing tasks accurately and within required timelines without reminders.
- Adhere to protocols and proactively flag and escalate potential deviations.
- Keep participants supported, informed, and safe throughout study participation.
- Maintain documentation that is accurate, complete, and inspection-ready at all times.
- Operate as a trusted, independent contributor who strengthens site operations rather than requiring close supervision. Why Join Aayus Research
- A high-trust environment where experienced coordinators are given real autonomy and ownership.
- Direct collaboration with the Principal Investigator on study strategy, not just execution.
- A collaborative team culture that values ownership, accountability, and quality.
- Exposure to studies that directly impact patient care and outcomes.
